Job Description:

The Hire Coordinator will be responsible for & coordinate a fleet of site accommodation units (portable cabins, welfare units, mobile offices). This role involves coordinating between multiple departments across the business including, Environment Health and Safety, Transport, Business Development, Maintenance and Finance, along with being a point of contact for customers with contractual or logistical queries. The ideal candidate will possess exceptional writing skills, strong interpersonal relationship skills and the ability to coordinate multiple processes simultaneously.

Key Responsibilities:

Fleet & Asset Management
• Maintain an up-to-date inventory of all units (location, condition, availability) in the ERP.
• Track asset movements between depots and sites.
• Monitor utilisation rates and identify underused or surplus units.
• Ensure proper identification/tagging of each unit.
• Continuous Improvement: Analyse feedback from internal and external stakeholders.
• Coordinate with procurement or manufacturing for additional units if needed.
• Plan fleet expansion, replacement, or disposal.

Logistics & Operations
• Plan and coordinate deliveries, installations, relocations, and collections.
• Liaise with transport providers and site teams to schedule moves efficiently.
• Ensure units are delivered on time and meet site requirements.
• Optimise routing and transport costs.
• Respond to requests or adhoc maintenance demands.
• Organise safe transport, installation, and handling of units, in line with policy and processes.
• Promote safe working practices for staff and contractors.
• Manage waste, recycling, and environmental compliance where relevant.

Customer and Stakeholder Management

  • Act as the main point of contact for clients, site managers, and internal teams.
  • Understand customer needs and ensure appropriate unit allocation.
  • Provide updates on deliveries, delays, or issues.
  • Build and maintain strong client relationships.
  • Handle customer queries, variations, and disputes.

Requirements:

  • Previous experience in coordinating a multi unit fleet of site accommodation units ready for hire.
  • Excellent written and verbal communication skills.
  • Highly organised with the ability to manage multiple projects and deadlines.
  • Proficiency in Microsoft Office Suite and ERP.
  • Strong attention to detail and problem-solving skills.
  • Ability to work collaboratively with cross-functional teams.
  • Knowledge of industry standards and regulations.
